On the event home page there is a map showing where the venue is and where each hotel is located. In addition at the top of each hotel page there is the distance to the event venue clearly shown to help you decide which hotel suits your needs.

The majority of hotels include room, breakfast and VAT in their prices. Properties that do not offer this are clearly indicated by a highlight banner on the list of hotels. These may include apartments etc.

All hotel prices are guaranteed until any unsold rooms are released back to the hotel. This date is shown at the top of the hotel page and is generally 28 days before the event starts so best to book your hotel early.

Of course not - we are happy to accept bookings from all delegates. When you come to process your booking a pop up panel will appear offering you the opportunity to become a member - which allows you more control over your booking, however you can check out as a guest and simply get in touch with us for any changes or help with your booking.

Generally you can book up to 9 rooms on a single booking form. If you would like to make a Group Booking then please get in touch by completing the form which is available from the navigation menu at the top of the website. We will then be in touch to help you with your request.

When booking we request basic credit card details to secure your booking. We do not ask for any payment or for a CVV number. Credit card details are only used by hotels in the case that guests do not arrive or cancel outside of the agreed terms and conditions.

You can certainly arrange to pay in advance of your stay - simply request a Pro Forma invoice and add the details of where you would like it sent to at the time of making your booking. This iwill allow the hotel to send the Pro Forma invoice and receive payment in advance. Otherwise payment will normally be due on check in - subject to the individual terms and conditions for each property. This particularly useful when making bookings for colleagues who will not have any corporate payment method available to them.

Each time you make a booking our platform sends a notification to the email that you entered. Sometimes certain firewalls such as NHS, Education, Yahoo or .org domains can block these notifications or move them to your SPAM mailbox. Please check here first or call us and we can arrange a duplicate to be sent to you.

When a hotel processes your booking a confirmation notification is sent. This is usually within 5 working days. If you do not receive this notification then please firstly check your SPAM/JUNK mailbox or call us and we will check that the booking has been confirmed, chase the hotel if not or send you a copy. This will include a confirmation number in case you wish to contact the hotel direct.

We understand that sometimes you will need to cancel your booking. Please use the "Cancellation" link in the navigation at the top of the page and insert your unique booking ID. This will open an online form where you can choose what type of cancellation you need - entire booking or a guest or an individual night. A copy of your submission will be sent to your chosen hotel and a copy to us. Your booking record will be updated accordingly. Please always remember to check the terms and conditions which you agreed to and which were included on your original notification/confirmation.

If you need to amend or change your booking in any way - please get in touch with us direct and we will be pleased to help. Your booking record will be updated so that the hotel is aware of the changes when they log in to their secure booking portal.

All bookings made are a direct contract with the hotel - for any financial matters including invoice requests - please contact the hotel direct. We do not take or manage any financial matters.

These terms need to be accepted by you to enable the booking to be completed.

We provide an impartial booking service. All of our properties listed are either members of the local hoteliers or destination organisation or have been carefully check by us. We are always happy to help with advice on location, facilities, accessibility and services but firmly believe that all guests should be free to book a hotel to suit their needs such as cost, location etc.

On the very rare occasion that something is not right with your booking then please do not hesitate to contact us. If there is any issue with your actual stay then please discuss with the provider as your contract is directly with them - so they are best placed to help you and to resolve any issues. We are confident that our providers will do their best but please let us know of any experiences that are not resolved so that we can be aware for future bookings and also try and help you as best we can.
